HMC was engaged by Japs-Olson for a multi-stage SharePoint project. A 100-year old commercial printing company based in the Twin Cities, Japs-Olson found themselves challenged by document management and workflow processes that were primarily paper based and included significant inefficiencies and duplication of effort. Additionally, Japs-Olson was in the process of pursuing their ISO 9000 certification and realized that their current processes would make it difficult for them to meet stringent ISO certification standards. HMC first conducted a thorough business analysis of Japs-Olson’s major business processes for continuous improvement actions, employee training, and internal communications as well as information management around process improvement initiatives, sales leads, customer contact information, contracts, human resources forms, material safety data sheets (MSDS), and OSHA records. HMC’s business analysis results were presented to the Japs-Olson management team as a multiple-phase “SharePoint Roadmap”.
Japs-Olson decided to move forward immediately with the first phase of the roadmap. First, HMC defined both the WSS and SQL server configurations and hardware required to meet Japs-Olson’s immediate and long-term SharePoint needs. Next, HMC developed a SharePoint-based Intranet site to provide consistent communications and basic document sharing for all employees. Finally, the most important deliverable of the first phase was a twin integrated solution for “Continuous Improvement Document Management” and “Corrective Action ISO 9000 Workflow”. These two solutions were developed using HMC’s “extreme out-of-the-box configuration” approach to SharePoint and were architected to provide Japs-Olson with the ability to gradually extend their SharePoint model to include additional process improvement workflows and other document collections. HMC also provided the Japs-Olson team with extensive documentation on how their SharePoint solutions were developed and provided knowledge transfer around SharePoint throughout the project. Japs-Olson received their ISO 9000 certification in late 2009.
